Booking transport for a corporate offsite is usually handed to whoever in HR or admin has the least experience doing it, and it usually happens two weeks before the event with a headcount that's still changing daily. This guide exists so that person has an actual reference instead of starting from zero.

It covers drive times from Gurgaon's main office corridors to ten common offsite destinations, how to choose vehicle capacity against your real headcount, what to do about AV and event equipment, and how far in advance to book during peak season.

Starting points: Cyber City, Udyog Vihar, Golf Course Road

Most Gurgaon offsites originate from one of three zones, and it's worth being specific because drive times to the same destination can differ by 20–40 minutes depending on which one you're starting from and what time you leave.

Cyber City sits closest to NH-48, which makes it the fastest starting point for anything toward Jaipur, Neemrana, or Alwar. Golf Course Road adds extra time to reach NH-48 but is closer to the Sohna road corridor. Udyog Vihar is comparable to Cyber City for NH-48 routes but adds time for anything via NH-8 toward Manesar and beyond.

Departure timing matters more than the map suggests. A Friday 4 PM departure from Cyber City toward NH-48 can take 60–90 minutes longer than the same route at 10 AM, purely from Gurgaon's own exit traffic. For offsites, a mid-morning weekday departure or an early Saturday departure consistently beats a Friday evening one.

The ten destinations

1. Damdama Lake (Sohna) —from Golf Course Road. The closest genuine "getting out of the city" option, popular for half-day team activities and short offsites that don't need a full overnight stay.

2. Sohna resorts corridor Similar profile to Damdama; several resort properties cluster here specifically for the corporate offsite market.

3. Neemrana (Fort & resort belt) —via NH-48. The single most common overnight offsite destination for Gurgaon companies, largely because the drive is almost entirely expressway.

4. Alwar - A step further than Neemrana on the same corridor, generally chosen for two-day offsites or when a specific resort/wildlife property is the draw.

5. Kasauli  - The go-to hill option when a company wants a genuine change of altitude and scenery rather than a flat resort. Longer drive; factor this into agenda planning, not just transport cost.

6. Manesar (resort belt) — Very short drive, making it a strong choice for single-day offsites where the goal is a change of venue more than a change of scenery.

7. Lansdowne — Popular for two- to three-day offsites where leadership specifically wants a quieter, greener setting; longer drive means this needs to be a real overnight trip, not a day excursion.

8. Jim Corbett area (Ramnagar) —Chosen for offsites built around outdoor activity and a genuine retreat feel; requires overnight planning and a realistic drive-time buffer into the agenda.

9. Rishikesh — Increasingly popular for offsites with a wellness or team-building focus (rafting, yoga sessions); best treated as a two-day-minimum trip given the distance.

10. Chail / Shimla-adjacent — The furthest option on this list and the one that most requires an overnight stopover or an early-morning departure to avoid arriving exhausted.

Choosing vehicle capacity against headcount

This is the part most first-time offsite organisers get wrong, and it's worth spelling out plainly: matching vehicle count to headcount is not simple division.

For a 45-person offsite, the naive calculation is "two 26-seaters covers 52 seats, done." In practice, book for slightly under full capacity per vehicle. Corporate groups carry laptop bags, backpacks, sometimes overnight luggage, and often presentation or event equipment — a tempo traveller rated for 26 seats is genuinely comfortable at about 22–24 people once bags are accounted for.

The general guidance:

• Under 12 people: one 12-seater tempo traveller, or split across cars if the group prefers flexibility.
• 12–20 people: one 17-seater.
• 20–35 people: two 17-seaters, or one 26-seater plus a support car for late arrivals/early departures.
• 35–55 people: two 26-seaters. Resist the urge to go to a single large bus at this size unless every seat is genuinely committed — offsite headcounts almost always shrink between the initial invite and the actual date, and an oversized bus is the most expensive mistake on this list.
• 55+ people: this is bus-hire territory, but keep at least one tempo traveller in reserve for staggered arrivals, VIP transport, or last-minute additions.

Always book one seat of slack per vehicle beyond your confirmed headcount. Offsite attendance lists change until the morning of the event, and one flexible seat per vehicle absorbs this without a scramble.

AV and event equipment

Corporate offsites frequently travel with speakers, projectors, banners, prize boxes, and sometimes branded merchandise — cargo that a standard headcount-to-seat calculation ignores entirely.

Tempo travellers Gurugram have meaningfully more luggage space than an equivalent number of sedans, but it's still finite. If your offsite includes a significant AV or event setup, tell the transport provider the volume and rough dimensions when booking, not on the morning of pickup. For larger equipment loads, request a vehicle with a rear luggage compartment specifically, rather than assuming under-seat storage will be enough.
